Terms and Conditions

The following terms and conditions form an integral part of using our services.

Bookings

  • All airport transfer bookings are to be pre-booked. 
  • Airport transfer bookings can be made by sending us online booking form from our website or by email.
  • All bookings are handled with care and attention to ensure transfer service is provided as per request.
  • Online airport transfer booking form and/or booking requests sent by email will be replied with a quotation within shortest time possible from receiving the request.
  • Confirmation email will be sent to the client with all relevant details of the transfer booking.
  • Clients must provide a valid email address and/or contact number at the time of booking. 
  • We shall not be held responsible/liable for any incorrect information provided by the client.
  • Accepting or refusing a transfer booking is at our discretion.

Vehicle Type

  • Clients are requested to be accurate and specific about number of passengers and number/size of luggage and therefore order the correct vehicle type.
  • RM Airport Transfer will not be held responsible/liable should the client order the wrong type of vehicle.

Additional Passengers and /or Luggage

  • Change in total number of passengers and/or luggage will only be allowed with permission of private hire operator.
  • Extra charges will be applied if the type of vehicle to be upgraded but not exceeding the number of passenger and/or luggage allowed per the type of vehicle ordered.

Additional Pickups and Drop-off stops

  • Additional travel for pickups and drop-offs will be charged £1.10 per mile.
  • Any additional stops will be verified by the private hire operator staff and the payable fare will be updated accordingly.

Waiting time charges

  • Private hire operators allows a free waiting time of 45 minutes for all airport pickups from the actual flight landing time.
  • Extra waiting time will be charged at £5.00 for every 30 minutes which will be added to the fare.
  • Flights delays will not be charged extra as all flight landing times are monitored.
  • Waiting time for pickups from residences, hotels, offices and other venues are allowed up to max of 10 minutes free of charge from the actual pickup time booked.
  • Extra waiting time will be charged at £0.50 for every 5 minutes which will be added to the fare.

Airport Pick-ups and Drop-off Charges

The following terms and conditions form an integral part of using our services.
  • Birmingham Airport pick-up & drop-off charges:

    Duration 0-15 minutes £4

  • Heathrow Airport all terminals pick-up charges:

    Duration 0-29 minutes £7.50

    Duration 30-44 minutes £11

    Duration 45-59 minutes £13.50

    Duration 1-2 hours £17

  • Heathrow Airport all terminals drop-off charges:

    Duration 0-15 minutes £5

  • Pick-up & Drop-off:

    Duration 0-30 minutes £6

    Duration 31-60 minutes £10

    Duration 1-2 hours £15.50

  • Gatwick Airport North & South terminals pick-up charges:

    Duration 0-30 minutes £6

    Duration 31-60 minutes £10

    Duration 1-2 hours £15.50

  • Gatwick Airport North & South terminals drop-off charges:

    Duration 0-10 minutes £6

    There after £1 for every additional minute up to 20 minutes.

    Maximum length of stay of 30 minutes a charge of £25.

  • Luton Airport pick-up & drop-off charges:

    Duration 0-10 minutes £3

    There after £1 for every additional minute.

  • Stansted Airport pick-up & drop-off charges:

    Duration 0-15 minutes £7

    Over 15 minutes £25

  • Manchester Airport all terminals drop-off charges:

    Duration 0-10 minutes £6

  • Manchester Airport all terminals pick-up charges:

    Duration 0-30 minutes £6

    Duration 31-60 minutes £12

Airport Pick-ups and Drop-off Charges

  • The driver will take appropriate route to the drop-off address taking in consideration the traffic jam, time, road closures and diversions to the best of his knowledge.

Payments

  • All pre-booked airport transfer bookings must be paid in full 72 hours prior to the transfer date.
  • Payment type accepted are PayPal and bank transfer.

Cancellations & Refunds

  • A pre-booked transfer cancellation notice must be reach us either by email or text message no more than 12 hours prior to actual pickup time.
  • A booking can be cancelled free of charge if cancelled before 12 hours from the actual pickup time.
  • A pre-paid booking cancellation notified less than 12 hours period will not be refunded.

Refunds will be issued if the following conditions are satisfied:

  • A pre-paid booking is cancelled 12 hours prior to the actual pickup time.
  • The passenger missed the flight and informed us immediately either by email or text message.

All refunds will be subject to 5% administration charges.

No refund will be issued in the event of:

  • A pre-paid booking is cancelled in less than the required 12 hours of notice period.
  • The passenger is no-show.

Liabilities

  • RM Airport Transfer accepts no liability what so ever in the event delays due to severe traffic conditions, road closures, and/or extreme weather conditions.

Legalities

  • Passengers are required to always use seat belts.
  • Passengers are not permitted to smoke in the private hire vehicle at any time during the journey (including electronic cigarettes).
  • Passengers are not permitted to consume alcohol in the private hire vehicle at any time during the journey. The service provider and the driver reserve the right to refuse to board the passenger or alight the passenger from the private hire vehicle who is intoxicated.
  • Providing airport transfers to minors below age of 12 years will be accepted only if we receive written parent/guardian’s consent at the time of booking for a minor.
  • The service provider and the driver do not accept any type of additional responsibility for a minor under the age of 12 years who travels unaccompanied in a private hire vehicle.
  • The service provider and the driver reserve the right to refuse to board or alight the passenger who behaves in an inappropriate manner, use of abusive language and use of physical contact.
  • The passenger will be liable for the cost of repairs and cleaning of any kind of damages and spillages to the private hire vehicle caused by the passenger during the journey.
  • We reserve the right to subcontract or delegate any or all of our services to an officially licensed private hire operator.
  • Child seat will be provided free of charge. However, we cannot guarantee availability.

Blackout Dates

  • Christmas and New Year is considered as high season period.
  • There will be extra 50% increase in the fares for the following dates:

         December 24th, 25th and 26th – December 31st – January 1st

  • Transfer bookings on above dates will be accepted only on pre-paid basis.
